What projects are and how to manage them in Runn.

What are Projects in Runn?

Projects are dedicated work completed over a set period of time. You can also use Runn for Programs or Account Management - but they will still be called "Projects" in Runn as we do not allow re-naming of generic components yet.

Runn supports both billable (external ) and non-billable projects (internal) projects.


Pricing Models

Runn currently supports Time & Materials, Fixed Price and Non-billable projects.

Although we do not support contingent model, you can use "Other Expenses" to track these on T & M or Fixed Price.

Please not that Fixed Price revenue recognition uses an average effective rate and not a percentage of completion or milestone method.

Project Status

Runn offers both confirmed and tentative projects status.

Managing your Projects

➡️ Adding Projects

There are 3 ways to add a new project. To get started click on + New in the top lefthand corner:

Manually

  • Select Project

  • You can use a template or complete the following fields:

    • Project Name (Projects are sorted alphanumerically- so if you wish to create your own order- add required pre-fixes like probability)

    • Client (you can create a new one if you have the correct permissions)

    • Pricing Model (you can set the default in Settings)

    • Status (Confirmed or Tentative)

    • Reference Rate Card (will default to Standard- these are based on Role default rates)

    • Primary Team (though Optional- VERY important as connected to Views, Permissions and Notifications)

    • Manager (IMPORTANT- User(s) who can edit the project for those with Manager, Restricted permissions)

Auto-notification & Permissions (coming soon!)subscription is based on the Primary Team field.

It is recommended to fill out the Primary Team field even though it is optional. If users would like to get project-related notifications, they can subscribe to a Team once and will automatically be subscribed to all the new projects linked to the team. Learn more about Notifications here.

Importing

You can use integrations (like JIRA), API or CSV to bulk import project.

Bulk Add

Please note that Bulk Add add only lets you add required fields and will use defaults for status and pricing model. This is not a recommended way to add projects as key fields will not be completed and may not appear in your view.

➡️ View/Edit your Projects Details

To view or edit key any project details, click on the 3 dots next to the project name and select "Edit Details".

This will bring you the Project Dashboard.

  • The project's budget estimate.

  • A projection of your project's performance.

  • An overview of actual hours worked vs. what was planned. 

  • Who on your team is working on the project.

In the project dashboard; click on "Activity" to see events linked to the project. Click here to learn more about Runn's activity log.


Archive/ Unarchive Projects

To keep your project list up-to-date and manageable, you can archive projects that are complete, on hold, or no longer relevant.

When you archive a project, all associated historic project data will be saved.

When the project is ready to go live again, you can unarchive the project.

Deleting Projects

We don’t recommend you delete a project. Instead, if you no longer require a project, we recommend you archive it to retain any associated historical project data.

If you still choose to delete, note that deleting a project is permanent. There’s no undo, so use this action with care.

There is no way to bulk delete multiple projects.

You can delete a project from the:

  • Project planner

  • Project dashboard

  • Manage Projects page

Note: In Runn, an Admin with Edit Account Settings set as On can delete projects directly even if they have assignments or actuals.

For other Admin or Manager users, you have to manually remove all the assignments and actuals before deleting a project.
