IMPORTANT:

Runn handles timesheets slightly different to what you may be used to.

You must enter time in every field, including 0 if no work has been completed.

In Runn, people can enter their own timesheets from their My Timesheets page. 

In addition, a  person with admin or editor permissions can view, enter, and update actual data and timesheets for any other person or project in their Runn account. 

You can view actuals data from a number of different screens in Runn:

  1. My Timesheets, to view and enter your own timesheets.
  2. Project page, to view and enter project timesheets for each person working on a project.
  3. Person page, to view and enter timesheets for an individual person. 

Viewing and entering your own timesheets on My Timesheets

To enter time against a project you are working on:

  1. Login to Runn and go to My Timesheets > Edit Timesheets
  2. Navigate to the week you want to log time for
  3. Enter the total hours for the week (Runn will automatically split the entry evenly between the 5 days), or
  4. Enter hours for individual days. Note that if you haven’t done any work, enter 0.
  5. Save.

FAQs

What if I can't see my timesheets?

This means your email address hasn't been associated with your person page in Runn. If you have administrator or editor access, you can do this yourself. Just follow the instructions here: How to set up Runn so people can enter their timesheets

If you don't have editing rights, contact the project manager of the project you are working on. They'll most likely have editor permissions and can set you up correctly. 

What if I see a warning next to a time entry? 

This means you have missing time entries, which we highlight in yellow. Make sure to fill in 0 if you haven’t completed any work instead of leaving the field blank. 

What is the grey pre-filled value?

Runn shows you the value that is used to calculate projections in place of the actual time until you enter the exact time. This means that if you do not enter anything in the field, the scheduled time will be used to calculate projections (e.g. Runn calculates if your project is on track by looking at what work has been completed -see below)

What if the project I worked on isn’t showing on the list?

First of all, make sure you're looking at the right week. You can navigate to the right week using the <- and -> arrows. If you still can't find the project, click the "Add project" button in the bottom left-hand corner and select the project you worked on from the list. 

Can I enter notes about what I did when I enter my timesheets? 

No. At the moment, Runn does not provide that functionality.

Why do I have to enter time even when I didn't do any work?

Runn calculates if your project is on track by looking at what work has been completed.

Because timesheets may be delayed or missing, Runn will automatically assume that the scheduled hours occurred until the actual value is entered.


If you are using Runn for timesheeting, you should always enter the amount of actual time spent each day, including 0 if no work was done.

If you or your business always logs exactly what was scheduled, such as being an onsite contractor, or doesn't do timesheets, you can leave actuals blank, or only enter if there are differences (such as someone being sick).

If you are using different software for timesheets, you can either use our API to sync the timesheets, or you can enter the amount of time spent that week without worrying about how the time was spent each day.

My total hours and timesheets don't appear to match. What's happening?

Runn assumes that all scheduled work occurred until you enter a different value.

This means that if someone was scheduled to work for 8 hours but didn't do any work that day, they must enter 0 into their timesheets for that day. They can not leave it blank.

Viewing and entering actuals for a project

As an administrator or editor, you can view and update actuals data for a project. 

  1. From the Projects tab, click the Details button for your project.
  2. Click the Update Actuals button.
  3. Navigate to the week you want to log time for.
  4. If someone is not in the list, click the + Add someone button.
  5. Enter the total hours for the week for each person (Runn will automatically split the entry evenly between the 5 days), or
  6. Enter hours for individual days for each person. Note that if someone did no work, enter 0.
  7. Click the Save button.

Viewing and entering actuals for a person 

As an administrator or editor, you can view and update actuals data for a person.

  1. From the People tab, click the Details button for your project.
  2. Scroll down to the Schedule and Actuals section.
  3. Click the Edit Actuals button.
  4. Navigate to the week you want to log time for.
  5. If a project is not in the list, click the + Add project button.
  6. Enter the total hours for the week for each project (Runn will automatically split the entry evenly between the 5 days), or
  7. Enter hours for individual days for each project. Note that if someone did no work, enter 0.
  8. Click the Save button.
