Reports Center: How to Use Reports

Who can access Reports?

How to find the reports I need?

  • Click "Reports" from the top horizontal menu to access the Reports Center.

  • Choose between the Presets and the Custom Reports tab to look for the report you need

Sort by Column Headers

  • You can sort the list of reports in either ascending or descending order based on:

    • Name - Name of the report

    • Type - People or Project-based report

    • Created by - the person who created the report

    • Last Updated - date, time and by whom the report was last updated

  • Click on the column headers to sort:

Search by keyword

  • If you know the name, type, or the name of the report creator of the preset or custom report, click on the magnifying glass icon on the top right to enter the keyword and search:

Preset Reports

These presets are pre-loaded with specific metrics and information to provide a good starting point.

Preset Reports are organized into four categories:

Report Category

Insights into project performance, financials, and delivery efficiency

Hiring & Resource Requests

Monitor hiring, resourcing demand, and upcoming capacity gaps

Data Governance

Identify data inconsistencies to strengthen reporting accuracy

You cannot save any report customization that overrides the presets. If you make any changes to the presets, you'll be prompted to create a new report because


Custom Reports

These are reports created by users in your account. They are visible and editable by all users with access to Reports Center.

Starting from a Preset Report, any Manager and Admin users can customize it and create shared custom reports that are useful for your organization.

Reports Customization Features

Whether you are viewing a preset or a custom report created by others, you can always customize the reports to suit your needs.

Views

Similar to the Planners, you can apply Views set up for your Runn account to reports to view a pre-filtered list of projects or people.

  • Project Reports are filtered based on the Project filters set up in the view

  • People Reports are filtered based on the People filters set up in the view

At the moment, the following filters are not supported:

Project Reports:

  • People & Placeholder filters

  • People Custom Fields filters

People Reports:

  • Project filters

  • Project Custom Fields filters

As a result, applying Views created based on the above filters is not supported. The results might not be displayed as expected.

Tentative Toggle

Using the same toggle as in the Planners, you can turn on all tentative projects or select specific ones to see how the totals are affected.

For example, toggle the tentative projects to see how this affects the projected overall revenue for all projects.

Filter

Using the same filter as our Planner, isolate information more clearly.

At the moment, the following filters are not supported in Reports:

Project Reports:

  • People & Placeholder filters

  • People Custom Fields filters

People Reports:

  • Project filters

  • Project Custom Fields filters

Search

Type a Person's Name or a Project's Name in the search bar to quickly find a person or a project.

Searching by other keywords is not supported at the moment.

Display

Change the effort unit from Hours to FTE (This cannot be saved). For the Project Overview Report, only Hours are available as the effort unit.

To view metrics with decimals, toggle on decimal points for Hours and Financial metrics; two decimal places will be displayed.

Note that Time is displayed as decimals, rather than minutes. For example, 5.5 would be 5 hours 30 minutes, not 5 hours 50 minutes.

Multi-Level Grouping

Add multi-level grouping for deeper analysis.

Columns

Select what information to be displayed in this report.

Time Period

A time period will be applied when you open a report. Click on the time period setting at the top right corner to change the selected time period to view the relevant metrics.

Overview

Only available in Project Reports for displaying metrics for the entire duration of the report.

Date Range

Show metrics for a specified date range. You can use this to get annual or even multi-year totals.

Period

Show metrics by day, week, month, or quarter in reports.

To save your customization settings, create a new custom report. Note that the report will be visible to all users with access to the Reports Center.

Export a Report

You can export reports in CSV or Excel. You can also choose to export the summary row (the highest level of data in groupings) or the breakdown (the lowest level of data in groupings ) in your report.

If you have a multi-level grouping report, you cannot export metrics for all levels. Either remove the higher-level or lower-level groupings until the level you want to export is at the highest or lowest level.
