What time off is and how to manage it

What is time off?

Time off is any time an employee or contractor is not working.

In Runn, you can create full-day or partial-day time off. During full-day scheduled leave, a person’s available hours are set to 0, and they will appear as unavailable on the Project and People Planners for those days. For partial-day scheduled leave, capacity and utilization will be adjusted, but assignments can still be scheduled.

There are four types of time off in Runn:

Full-day Scheduled leave

Partial

Scheduled leave

Public holiday

Rostered day off

Scheduled leaves are usually annual PTO or sick leave.

A partial scheduled leave is indicated by a yellow background.

Public Holidays are scheduled based on a person's Holiday Group.

Rostered days off are managed from a person's employment contract.

Viewing time off

From the People Planner

You can view all time off across your company from the People Planner.

View all Time Offs of all People

Open the Time Off grouping to see all time off. Hover over the time off bar to see the type of time off, any notes, and the total number of days off.

View all Time Offs of one Person

Example 1: Alan takes one week of leave. It will be displayed as Off in the Availability Summary on the People Planner.

From the Person Dashboard

You can view all time offs for a specific person from the Time Off section on their dashboard.

Impact on Project Scheduled Hours

When adding scheduled leave, a public holiday or a rostered day off over an existing assignment, the assignment hours will be reduced automatically.

If the scheduled leave is then removed, the assignment hours will be added back automatically:

When the assignment is moved forward or backward, it will automatically calculate the assignment hours depending on whether it overlaps with any time offs:

Similarly, if a project is rescheduled, the project scheduled hours will be added or removed depending on the whether the new assignments overlap with any time offs.

Time Off Impact Notifications

If you want to be notified when a scheduled leave is added to people on your projects, reducing the scheduled hours, you can turn on Time Off Notifications.


Time off and Utilization % on People Planner

Time off reduces a person's effective capacity and so affects the utilization %.
