How does time off affect the Weekly Utilization % on the People Planner?

This article explains the effect of time off (Scheduled Leave and Public Holidays) on the Weekly Utilization % of the People Planner.

Utilization Calculation

Utilization % = Hours allocated / Effective Capacity * 100

Hours allocated

The total of all relevant assignments within a period (i.e. if looking at billable utilization - all billable assignments).

Effective capacity

The total available work hours. This is the total contracted capacity less any Scheduled Leave or Public Holidays.

Examples

When there is no leave

Kenny's contracted and effective capacity is 40 hours (5 days) a week. He is assigned 32 hours (4 days) of work.

= 32/40 * 100

= 80% utilization


When Scheduled Leave is added

Kenny's contracted capacity is 40 hours (5 days) a week. He has 1 day off (8 hours), and there is no work assigned to him.

The effective capacity for the week is 32 hours (40 - 8).

Weekly Utilization %

= 0/32 * 100

= 0%


When Scheduled Leave and Work are added

Kenny's contracted capacity is 40 hours (5 days) a week. He has 1 day off (8 hours), and 4 days (32 hours) of work assigned to him.

The effective capacity for the week is 32 hours.

Weekly Utilization %

= 32/32 * 100

= 100%
