Explanation of how we determine Utilization Chart metrics.

Utilization is an important metric for assessing business and individual performance. It measures how many hours are allocated out of the total available work hours.

= Hours Allocated / Effective Capacity

  • Hours allocated - The total of all relevant assignments within a period

  • Effective capacity - The total available work hours. This is the total contracted capacity less any time-off.

In the utilization charts on the planner, you can see the non-billable utilization, billable utilization and total utilization across all resources in your organization, or a subset by using the filters.

Non-billable utilization = Total non-billable hours allocated / effective capacity

Billable utilization = Total billable hours allocated / effective capacity

Total Utilization =Total billable hours allocated + non-billable hours allocated / effective capacity

Metrics Example

Jo is contracted to work 40 hours per week (8 hrs per day).

This week:

  • Jo has 2 days off - one is a public holiday and one is scheduled leave. The rest of the week, Jo is booked 4 hrs per day on a billable project

  • Ash is contracted to work 20 hours per week (4 hrs per day). Ash is booked 2 hrs per day on a non-billable project

Non-billable utilization:

= Total non-billable hours allocated / effective capacity

= ( 10 hrs / 44 hrs ) * 100

= 23%

Billable utilization:

= Total billable hours allocated / effective capacity

= ( 20 hrs / 44 hrs ) * 100

= 45%

Total utilization:

= Total billable hours allocated + non-billable hours allocated / effective capacity

= ( (20 hrs + 10 hrs) / 44 hrs) * 100

= 68%

Notes:

  • Tentative projects are included in the utilization chart if the tentative project is within the filtered results and is toggled on in the planner

  • The planner and charts only show planned hours. Actuals logged in timesheets do not affect utilization there.
