The Permission changes are postponed. The permission system will remain the same on September 9th, 2024. Learn more here.

On September 9th, 2024

  • NEW - Viewer All Users will gain additional view-only access to Shared Test Account and list of users. If you DON'T want them to gain extra access, you MUST downgrade them to Viewer Basic before September 9th, 2024.

  • Viewer Basic Users will have no access to financial data.

  • Other permission access will be renamed with no changes in access rights.

Previously, we announced that the new permission structure will be released this week.

To allow you enough time to prepare for the upcoming changes, we will postpone the release date to September 9th, 2024. You will receive additional notification prior to the release of the new permission structure.

What is Changing?

The table below offers a breakdown of current Access Types, their new names as User types and the changes that will be made to each existing Access Type. The changes are expected to take place September 9th, 2024. We will give you further notice before the changes are released.

➕ Additional Access: when Viewer All becomes Manager

  • Viewer All Users will be able to view the Shared Test Account and list of users under the Manage Tab after migrating to Manager Users.

  • They will not have the right to edit any information in the account.

  • All other permission access remains the same as their current access.

➖ More Limited Access: when Viewer Basic becomes Contributor

  • Viewer Basic Users will no longer see the budget and project revenue by team on the Project Planner after Migrating to Contributor Users

  • All other permission access remains the same as their current access.

  • There will be no option to define financial permission access under the "Contributor" User Type.

What Do You Need to Do?

All the user types will be updated automatically when the new permission structure is released. No action is required from you to update the permission access.

However, we encourage you to take the following steps to review your user list and consider follow-up actions if needed.

1. Plan ahead for permission access changes

Considering the above changes for Viewer All and Viewer Basic users, you may want to upgrade or downgrade their current permission types BEFORE the new permission structure is released.

2. Review your list of Users

From Runn

Export the list of Users via the CSV Tool

  • Go to Settings > CSV

  • Click on Users and Permissions Tab

  • Expand Update Permissions

  • Click Download Existing Permissions CSV

3. Consider whether you need to change users' permission type in advance

Viewer All Users

If your current Viewer All Users are allowed to view the Shared Test Account and list of users, no action is required.

However, if

You DON'T want to let your current Viewer All users view your Shared Test Account or the list of users

You can change their permission level to Viewer Basic before the new permission structure is released.

That way, they will be automatically migrated to the Contributor User Type:

  • Retaining Current Access: They can continue to view the Project and People Planners, edit their own timesheets, edit their own personal details and view people and projects (within the planner).


  • They will lose view access to Project or People Dashboards, Reports, Company-wide details such as Clients, Rate Cards, Roles, Tags, Teams, Skills and Project templates under the Manage Tab.

Viewer Basic Users

If your current Viewer Basic Users don't need to see any financial information, no action is required.

However, if

You NEED your Viewer Basic User to view the budget and project revenue by team on the Project Planner

You can change their permission level to Viewer All before the new permission structure is released.

That way, they will be automatically migrated to the Manager User Type:

  • Retaining Current Access: They can view the Project and People Planner with financial information

  • They will gain additional view-only access to:

    • Project and People Dashboards

    • Reports

    • Company-wide details such as Clients, Rate Cards, Roles, Tags, Teams, Skills and Project templates under the Manage Tab

    • Account Settings, Public Holidays, Activity Log

  • They cannot Edit, Create or Delete any projects, people or properties in Runn

Under the new permission structure, you cannot configure the Viewer users to have the exact same access as they currently do.

We encourage you to review your list of Viewer All and Viewer Basic Users and decide whether you want to give them additional access or limit their access.

4. Change users' permission type in advance if needed

We will give you notice prior to the launch of the new permission structure. However, we encourage you to start the discussion internally and adjust people's permission levels sooner so you can have ample time to manage the change within your organization.
