Only Admin users with Edit Account Settings and Data set as On have access to the CSV Import & Export Tool.
Scheduled leave is partial or full-time off, typically used for annual PTO or sick leave.
You can use the CSV Import/Export to:
Add full-day or partial scheduled leaves to a person
Export all scheduled leave of active people
Update the partial scheduled leave hours to a person
If you have approved PTO or scheduled leaves in your HR system, simply convert them into Runn's format and import them into Runn!
You can click on the Table of Contents on the right to jump to any section at anytime.
Please note that once a scheduled leave entry is created, you cannot bulk delete scheduled leave via the CSV importer. You will have to do this manually on the Time Off display mode on the People Planner.
Can I import or export Public Holidays or Rostered Day Off?
This importing tool is for importing scheduled leave only. To add Public Holidays to your people, please refer to the Public Holidays help article.
Rostered Day Off (a person has a day off regularly every week) is defined in the employment contract. You can define people's rostered day off in bulk via importing contracts.
Importing Time Off (Scheduled leave)
1. Download Template
Hover your cursor over the top right-hand corner, click Settings
Click CSV
From the People Tab, expand Time Off
Click Download Template CSV
You will see some samples from the template for your reference. You can remove them and add your actual data to the file.
2. Preparing your data in the CSV file
Data Format and Requirements
Refer to the Data Format and Requirements section to prepare your data.
Here are some points to note:
Column headers
It is recommended that the column header names stay the same as those you see in the file downloaded from Runn. This way, Runn can automatically map the data into the system
Can I use my own column header names in my CSV file?
If it is more convenient for you to use your internal naming conventions in the column headers, it is also possible. You will have to manually match the data with a few clicks during the importing process

Remove all unrequired columns
If you have other columns on your spreadsheet that are not listed in the downloaded CSV file, please remove all these columns before importing
Ensure no duplicated records
Make sure that there are no duplicated time off entries and that each record has a unique email address/ external references ID number
3. Importing CSV file in Runn
After preparing the CSV file, you can import the updated data in Runn.
Hover your cursor to the top right-hand corner, click Settings
Click CSV
From the People Tab, expand Time Off
Click Import Time Off CSV
4. Uploading Time Off
Drag your file to the screen or click Import Time Off CSV
5. Matching the columns
On this screen, the items on the left are the column headers in your CSV file, while the items on the right are the column headers required in our CSV Tool.
If you haven't changed the column headers, they should be exactly the same. In this case, click Confirm

6. Reviewing Entries
Carefully scroll through the page and check if all the information is correct.

If everything looks good, click Complete Import
Congratulations! You have successfully imported Time Off! 🎉
7. Validating the data
You can validate if the data is successfully uploaded by following the steps below:
Go to the People Planner
Change the Display mode to Time Off
You should now see all the scheduled leave in Runn:
Exporting Time Off (Scheduled Leave)
You can export all scheduled leaves of your active people in Runn.
Hover your cursor to the top right-hand corner, click Settings
Click CSV
From the People Tab, expand Time Off
Click Download Existing Time Off CSV
Updating Existing Data
If your account already has Scheduled leaves and you want to add new scheduled leaves or update the existing partial scheduled leave hours, you can easily download the existing data, make the changes and re-import the CSV file to Runn.
1. Exporting Existing Data
The data in the newly imported CSV file will overwrite existing data in Runn.
Hover your cursor to the top right-hand corner, click Settings
Click CSV
From the People Tab, expand Time Off
Click Download Existing Time Off CSV
If you plan to update the existing partial scheduled leave hours, update the data in this CSV file. To add new scheduled leaves, add new rows.

Person Identifier column
The numeric value in the Person Identifier column in the downloaded file is Runn's Person ID, a unique identifier in Runn.
You can keep it as is. If you have a data set that uses the person's email address or Employee ID added in the External References field as the unique identifier, you can add emails/ external references to the Person Identifier column to update the person's data:
