Assignments are allocations or scheduled work in Runn.
Create an assignment
After adding a person to a project in the Planner, click the timeline to choose the assignment's start date, then drag your mouse to the right to create the assignment for that person.
Under the Week, Month or Quarter view, by default, you are adding an assignment for one day.
When you're in the Half or Year view, by default, you are adding assignments for a week, making it really quick and easy to plan out weekly work and sprints.
Edit an existing assignment
To edit an existing assignment, click on the assignment and the Assignment Editor will pop up, displaying the fields you can edit and other advanced actions that you can take:
Assignment Editor (Quick Editor)
When you create an assignment or click on an assignment on the Planner, Runn shows you a quick editor so you can review and change assignment details, including the hours per day and the overall duration of the assignment.
Here is an explanation of each of the fields in the quick editor:
Effort
The Effort field defaults to your employee's daily number of working hours based on their employment contract setup.
The default effort unit is based on your Project Planner settings. You can switch between different units at any time.
If the effort unit is set as Hours per day, you can update the hours per day using the hours:minutes format or the decimal format; e.g., 7:30 and 7.5 both mean 7 hours and 30 minutes.
People can have assignments of up to 24 hours per day or 1 FTE.
Placeholders have no upper limit on the number of hours assigned per day.
Work Days
Work Days is the duration of your assignment.
Click on the up and down arrows next to the work days field to lengthen or shorten the assignment by adjusting the assignment end date. Alternatively, type a number into the field to update the duration of the assignment and the assignment end date.
If the assignment overlaps with the person's full-day time off, the time-off days will be automatically excluded.
Total Effort
The total effort of an assignment is the total number of hours or days in an assignment. You can switch between Hours or Days as the Unit:
Which field should I use to schedule hours?
When creating or updating an assignment, you can start by defining the number of work days for the assignment. You would have already done so if you had dragged and dropped when creating the assignment.
To schedule longer-term assignments that span over several months, you can also define the project start date and end date using the calendar button:
You can then update either the Effort or Total Effort - whichever is more convenient.
Runn will automatically calculate the other value for you based on the number of work days defined.
If you know the effort required in Capacity % or hours per day/week, enter your input in the Effort field (e.g. I know this person needs to work 3 hours a day on this project)
If you know the Total number of hours or days required, enter your input in the Total Effort field (e.g. I know this person needs to work 100 hours across these 3 months)
How does the calculation work?
If you enter Effort, Runn multiplies it by the number of work days to calculate Total Effort:
If you enter Total Effort, Runn distributes those hours evenly across the work days to calculate Effort:
Runn will get to the nearest minute per day in the Effort field. If the Total Effort you entered cannot be divided evenly across the number of work days, there will be a slight adjustment in the Total Effort field.
Updating the Work Days will only update the Total Effort. It will not affect the Effort:
Calculation Formulas
When updating Effort:
Total Effort = Effort in Hours per day * Work Days
When updating Total Effort:
Effort = Total Effort in hours / Work Days
Phase
