How do I compare workload (demand) vs capacity (supply) to identify any deficit?

You can do this in multiple ways and it will depend on whether or not you are using placeholders and resourcing requests.

Charts on the Planner

In Runn, placeholders represent unmet demand- or work that has not been assigned to anyone yet. When using Capacity or Availability charts, placeholders will automatically be included. If you aren't using placeholders, these charts will still show a deficit between the current demand and the current capacity.

  1. Select the time period on the planner on the top right, and launch the Charts.

  2. Toggle on Tentative to factor in potential work.

  3. Hover for the different days/weeks to see if there is negative availability.

Insights with Role Deficits

Insights, available on Premium & Enterprise plans, will isolate the specific deficits for you as well.

  1. The Projected Total Capacity vs Workload chart will show you any deficit based on roles.

  2. Turn on Tentative to include potential work.

  3. Click the roles deficits to isolate the roles.

Or you can use the Availability Chart.

While people can have both workload and capacity, placeholders can only have workload.

  1. Toggle on Tentative.

  2. Click on"People" and uncheck all people. This isolates only the placeholder hours.

  3. Hover over each month to see the overbooking.

  4. Click on "People" to add additional filters.

If you are using the Resourcing Requests- you can also use Insights>Workforce to see all the hiring proposals.

Using Reports

If you wish to see this in a table format or have a long time period, consider creating a Deficit Report.

  1. Use the Explorer Reports preset.

  2. Turn on Tentative if applicable.

  3. Filter "Person State>Active".

  4. Add grouping if needed:

    1. Roles

    2. Person Type (Placeholders vs Persons)

    3. Skills

    4. Custom Fields

  5. Select a date range and time period.

  6. In Columns- uncheck everything except

    1. Effort> Total Hours

    2. Capacity> Effective Capacity and Remaining Availability

7. Compare Effort with Effective Capacity to identify any deficits. If there is negative availability - there is a also a gap.

Hiring Proposals

The best way to isolate deficits is to use resourcing requests and tagging the unmet demand as "Proposal to Hire".

  1. Add placeholders to projects instead of people.

  2. Add crucial details to the placeholder like skills needed, suggested people, etc and notes (you can add @ to send a notification to specific person)

  3. Any one subscribed to receive resourcing requests or the managers of the suggested people will see the request:

    1. They can transfer the work over.

    2. They can comment back or ask more questions.

  4. If they are unable to find an available resource- they should change the resourcing request to Propose to Hire.

  5. Using the Explorer preset- create a Hiring report.
