How do I fix incomplete timesheets (missing actuals)?

If you have scheduled hours in the past (existing users)

Once timesheets are enabled in your account, each scheduled assignment added to the Project Planner will be expected to be linked to an actual hour entry in Runn.

Any past assignments without actual hour data entries in Runn may result in missing actuals, and that may skew the Total Hours metrics in the report.

Therefore, if you have existing scheduled assignments in Runn and you do not want to remove them, you will have to add all the historical actual hours data in Runn first before inviting users to add actual hours to the timesheets.


Option 1:

Enter timesheets for each project/person manually

  1. As an Admin user (with Edit Account Settings and Data set as On), enable timesheets under Account Settings.

  2. Do NOT invite timesheet users before you have added historical hours data.

  3. All Admin and Manager Users with the right to edit projects/ people can edit timesheets from the Project or Person Dashboard.

  4. Add the historical actual hours to the projects or people for all assignments in the past. You can use the shortcut to fill missing actuals by Scheduled or Zero Hours for each week.

  5. Continue with the steps for setting up timesheets in your account.


Option 2:

Use the CSV Tools to bulk import old timesheet entries in Runn

  1. As an Admin user (with Edit Account Settings and Data set as On), enable timesheets under Account Settings.

  2. Do NOT invite timesheet users before you have added historical hours data.

  3. As an Admin user (with Edit Account Settings and Data set as On), you can add the historical actual hours by importing timesheets via our CSV tool.

  4. Continue with the steps for setting up timesheets in your account.


Option 3:

Automatically fill in Zero Hours as historical actual hours

As the account admin (with Edit Account Settings and Data set as On), there is a one-click button for you to fill in zero hours as historical actual hours for ALL missing timesheet entries.

This action is irreversible.

Example

If 8 hours of scheduled assignments was added to the previous week, there will be a missing actual hours entry for the day.

After auto-filling all the missing actuals with Zero Hours, you will now see 0 hour added to that day as actual hours.

  1. As an Admin user (with Edit Account Settings and Data set as On), enable timesheets under Account Settings.

  2. Go to Settings > Account Settings > Scroll down to Account Actions

  3. Click Show Actions

  4. Click autofill with zero

  5. Continue with the steps for setting up timesheets in your account.


Option 4:

Reach out to Runn Support to automatically fill in Scheduled Hours as historical actual hours

Runn's Support Team can help you automatically fill in the scheduled hours as historical actual hours for ALL missing timesheet entries on a one-off basis.

This action is irreversible.

Example

If 8 hours of scheduled assignments was added to the previous week, there will be a missing actual hours entry for the day.

When Runn's Support team has auto-filled all the missing actuals with Scheduled Hours, you will now see 8 hours added to that day as actual hours.

  1. As an Admin user (with Edit Account Settings and Data set as On), enable timesheets under Account Settings.

  2. Send and email to help@runn.io or message us from the In-App chatbox and request to autofill all missing actuals with Scheduled Hours or Zero Hours

  3. Our Team will confirm your request and autofill the actual hours as instructed

  4. Continue with the steps for setting up timesheets in your account.
