Only Admin users can access the CSV Import/Exporter.

Custom fields allow you to add reference information specific to your business, to projects and to people.

You need to set up custom fields and their properties first before adding them to your people and projects.

If you only have a few custom fields to set up, go to Manage > Custom Fields to set them up manually.

If you have many custom fields to set up, use this Importer to create them in bulk.

You can use the CSV Import/Exporter to:

  • Add new custom fields

  • Export a list of all custom fields and custom field options

  • Update some properties of existing custom fields setup (explanation below)

You cannot delete custom Fields in Runn with the CSV Tool. You will have to delete them manually in Runn.

Adding new custom fields

You can create new custom fields during your first account setup or anytime.

1. Download Templates

  1. Hover your cursor to the top right-hand corner, click Settings

  2. Click CSV

  3. Click on the Custom Fields Tab

  4. Click Download Template CSV

You will see some samples from the template for your reference. You can remove them and add your actual data to the file.

2. Preparing your data in the CSV file

Data Format and Requirements

Refer to the Data Format and Requirements section to prepare your data.

Column headers

  • It is recommended that the column header names stay the same as those you see in the file downloaded from Runn

3. Importing Custom Fields

Jump to the Importing CSV file in Runn and follow the steps to import your CSV file.

Update Custom Field Properties

If you have custom fields created, you can update some of the existing custom field properties:

✅ Can Update

❌ Cannot Update

  • Custom Field Name

  • Description

  • Include in the Planner

  • Filterable in Planner

  • Field Type

  • Input Type

  • Custom Field Options
(you can only add new options, but not edit existing options)

To update, simply download the existing data, make the changes and re-import the CSV file to Runn.

1. Exporting Existing Data

  1. Hover your cursor to the top right-hand corner, click Settings

  2. Click CSV

  3. Click the Custom Fields Tab

  4. Click Download Existing Custom Fields CSV

Custom Field ID column

The downloaded file contains a numeric Custom Field ID column, which is a unique identifier in Runn.

Please do not make any changes to this column, or the CSV importer may not be able to identify which data point you would like to update.

2. Preparing your data in the CSV file

Data Format and Requirements

Refer to the Data Format and Requirements section to prepare your data.

Column headers

  • It is recommended that the column header names stay the same as those you see in the file downloaded from Runn

Do not change the Custom Field IDs

  • When updating existing data, please do not make any changes to the Custom Field ID column, or the CSV importer may be unable to identify which data point you want to update.

  • If you would like to add a new field, you can leave the Custom Field ID blank and just enter the custom field data in a new row

Do not make changes to properties that cannot be updated

  • Refer to the above table to see which fields cannot be updated

  • If you made changes to those non-editable fields and import, you will receive an error message

Add new Options to Single or Multi Select Fields

You can either:

Option 1: Remove all the existing options and only include the new options in your file

  • Example:

    • Current list of options: Milan, Paris, Tokyo

    • New list of options: Vancouver, Boston

  • You will now add Vancouver and Boston to the list of options, while keeping Milan, Paris and Tokyo

Option 2: Add the new options behind the existing ones, separated by a comma

  • Example:

    • Current list of options: Milan, Paris, Tokyo

    • New list of options: Milan, Paris, Tokyo, Vancouver, Boston

    • Same as Option 1, you will now add Vancouver and Boston to the list of options, while keeping Milan, Paris and Tokyo

3. Importing CSV file in Runn

After preparing the CSV file, you can import the updated data in Runn.

  1. Hover your cursor to the top right-hand corner, click Settings

  2. Click CSV

  3. Click the Custom Fields Tab

  4. Click Import Custom Fields CSV

    4. Uploading Custom Fields

Drag your file to the screen or click Import Custom Field CSV

5. Matching the columns

On this screen, the items on the left are the column headers in your CSV file, while the items on the right are the column headers required in our CSV Tool.

If you haven't changed the column headers, they should be exactly the same. In this case, click Confirm

6. Reviewing Entries

Carefully scroll through the page and check if all the information is correct.

❌ What to do if there is an error?

Check out this article to learn more about how to fix errors.

If everything looks good, click Complete Import
