Import/ Export Skills & Levels

Only Admin users with Edit Account Settings and Data set as On have access to the CSV Import & Export Tool.

In Runn, you can add skills to your people and placeholders to easily filter and search by people's skills to find the best person for a project. You can learn more about Skills here.

You can use the CSV Import/Exporter to:

  • Add new Skills and Levels to people

  • Export Skills & Levels data

  • Update Skill levels of people

Please click on the Table of Contents on the right to jump to the section that is relevant to you.

Two Ways of Importing Skills & Levels

You can add skills to people through the People CSV Importer or the Skills & Levels CSV Importer.

Depending on how the skill matrix data looks in your organization, you can decide which data format is easier for you to convert to Runn's required format.

Refer to the template to view the actual CSV file:

Data Format in the People CSV Importer

  • Add all the skill names and levels in one cell

  • SkillName1=Level, SkillName2=Level, SkillName3=Level

Data Format in the Skills & Levels CSV Importer

  • Separate rows for each skill name and level for a person


First-Time Account Setup

1. Download Templates

  1. Hover your cursor to the top right-hand corner, click Settings

  2. Click CSV

  3. From the People Tab, expand Skills and Levels

  4. Click Download Template CSV

You will see some samples from the template for your reference. You can remove them and add your actual data to the file.

2. Preparing your data in the CSV file

Data Format and Requirements

Refer to the Data Format and Requirements section to prepare your data.

Here are some points to note:

Column headers

  • It is recommended that the column header names stay the same as those you see in the file downloaded from Runn

Remove all unrequired columns

  • If you have other columns on your spreadsheet that are not listed in the downloaded CSV file, please remove all these columns before importing

Ensure no duplicated records

  • Make sure that there are no duplicated people and each record has a unique email address that is added to a person managed in Runn

3. Importing the Data

Jump to the Importing CSV file in Runn and follow the steps to import your CSV file.


Adding new skills/ Updating Skill levels of people

If you want to add new skills to people or update the skill level of their existing skills, you can easily download the existing data, make the changes and re-import the CSV file to Runn.

You cannot remove and replace an existing skill of a person by updating the skill name in this importer.

If you need to remove and replace people's skills, please use the People CSV Importer.

1. Exporting Existing Data

  1. Hover your cursor to the top right-hand corner, click Settings

  2. Click CSV

  3. From the People Tab, expand Skills & Levels

  4. Click Download Existing Skills & Levels CSV (only Active People and Placeholders are exported)

You will now see a list of all your people and the people's skill names and levels. Update this CSV file to be imported to Runn.

2. Preparing your data in the CSV file

Here are some points to note:

Do not change the Column headers

  • It is recommended that the column header names stay the same as those you see in the file downloaded from Runn

Person Identifier column

The numeric value in the Person Identifier column in the downloaded file is Runn's Person ID, a unique identifier in Runn.

You can keep it as is. If you have a data set that uses the person's email address or Employee ID added in the External References field as the unique identifier, you can add emails/ external references to the Person Identifier column to update the person's data:

Update skill levels only

  • You can update a person's level of an existing skill (e.g. changing from 3 to 4)

  • You cannot remove an existing skill by changing the skill name to another one. If you would like to remove and replace the skill, use the People CSV Importer, or manually remove the skill

Add a new row to add a new skill to a person

  • If you would like to add a new skill, add a new row with the person identifier, skill name and level

Remove all unrequired columns

  • If you have other columns on your spreadsheet that are not listed in the downloaded CSV file, please remove all these columns before importing

Ensure no duplicated records

  • Make sure that there are no duplicated time off entries and that each record has a unique email address/ external references ID number/ Runn Person ID

3. Importing the CSV file

After preparing the CSV file, you can import the updated data in Runn.

  1. Hover your cursor to the top right-hand corner, click Settings

  2. Click CSV

  3. From the People Tab, expand Skills and Levels

  4. Click Import Skills & Levels CSV

4. Upload Skills

Drag your file to the screen or click Import Skills & Levels CSV

5. Matching the columns

The items on the left are the column headers in your CSV file, while the items on the right are the column headers required in our CSV Tool.

If you haven't changed the column headers, they should be exactly the same.

Review and click Confirm

6. Review Entries

Carefully scroll through the page and check if all the information is correct.

If everything looks good, click Complete Import

Congratulations! You have successfully imported skills! 🎉

7. Validating the data

You can validate if the data are successfully uploaded by following the steps below:

  1. Go to Manage > People

  2. Look for a person whose contract you have updated

  3. View the Person Dashboard to see if the updated skills and levels are there
