Here are the steps a Resource Manager can take in Runn to process resourcing requests.

Filtering the list of resourcing requests

As a Resource Manager, you may receive a lot of resource requests from different Project Managers daily and need to liaise with each of them to discuss their resourcing needs.

With Runn’s filtering tool, you can easily filter the list of requests according to their status.

  1. From the People/Project Planner, click Filter

  2. Choose Resourcing Requests

  3. Select Requests Raised/Request Responded/Hire Proposed

You can filter both the project and people planners by the type of resourcing request.

When you filter the project planner by Resourcing Request, all the projects containing placeholders that currently have that status will show.

Finding a Person for the Request

After you have filtered for the list of Request Raised, you can find if there is a suitable person available for the job.

  1. Click on the 3-dot icon next to the placeholder, select Find a Person

  2. The tags and skills that have been associated with the placeholder will be applied as filters to help you shortlist suitable people in the organization.

Making a Comment (Optional)

  1. If you have identified a suitable person, you may want to leave a comment to their Functional Manager to let them know that you would like to assign the job to their team member.

  2. Click on the 3-dot icon and select Comment

  3. Type in a message and click Save

  4. The status of the request will be changed to Request Responded and the icon will change to a yellow arrow.

  5. The Project Manager can also view the comment history between you and the Functional Manager.

Transferring the work to a Person

Once the Team Manager has agreed to the assignment, you can transfer the work to the person.

  1. Click on the 3-dot icon next to the placeholder, select Find a Person

  2. As you click Transfer, the work will then be transferred from the placeholder to the Person. The Project Manager can also see from the planner that you have assigned a person to their project.

If you want to cancel the transfer

  1. Click on the person

  2. Right-click on the assignment

  3. Click Transfer

  4. Choose Placeholder

  5. Select the original placeholder and click Transfer


If no one is available for the job

Making a Comment to inform the Project Manager

  1. Click on the 3-dot icon and select Comment

  2. You can type in a message to inform the Project Manager. You may want to suggest they change their request requirements and work schedule

  3. The status of the request will be changed to Request Responded and the icon will change to a yellow arrow.

  4. To check the response from the project manager, hover your cursor on the arrow to read the latest comment. (At the moment, no notifications are prompted and you are encouraged to to check the latest comment regularly)

Cancelling a Request

If you would like to cancel the request,

  1. Click on the 3-dot icon, select Request Raised/Responded

  2. Click Cancel Request and enter a note on why you are cancelling the request. The comment history will still be retained and viewable.

  3. The placeholder will return to No Request status.

Proposing to Hire

If there is no one internally suitable for the job, you may want to propose hiring to the HR team.

  1. From the Project or People planner, click the 3-dot menu on a placeholder. Hover over Requests and select Request <role>

  2. Select Propose to Hire

  3. The mini-icon will turn into a yellow flag. The HR team will be aware that you have made a hiring request

If a new hire is made

The Hiring Manager may inform you in the comments that a new hire has been made to fill the position. When the new hire has been added to Runn, you can transfer the work to the new hire.
