How do I account for admin time or internal work like meetings, support tickets, etc?

Create an Internal Project so you can assign non-billable hours to staff to work on internal/administrative work

If you want to block some time for your staff to do internal work (e.g. preparing proposals, answering client enquiries, etc.), the best way to do it is to create a non-billable project where your own company is the Client and add assignments to it.

That way, you can be more accurate in forecasting the capacity of your staff when planning work on client projects!


Create an Internal Project

  1. Create a New Project and name it Internal Work (Or whatever name makes sense to you)

  2. For Client, select Your Own Company (in this example, my company is Kipra Digital)

  3. For Status, make sure it is Confirmed

  4. Click Create

Add an internal work assignment that spans the year

  1. Expand the Project, and click Add Person or Placeholder

  2. Choose one person to add first (we will clone the assignment to other people later!)

  3. Click on the timeline to add the assignment for the person - instead of entering Hours per Week. You can also enter a percentage (e.g. if you want the person to spend 20% of his time on internal work, enter 20% in the Hours per Week field)

  4. Click on the calendar icon to open the calendar - this allows you to schedule long-term assignments.

  5. Click on the Start Date field and choose the start date on the right monthly calendar, then select the end date on the left monthly calendar. Here the last day of December is set.

  6. Now you would see the Internal Work has been scheduled for the entire year for the person!

Clone the Assignment to other people

  1. Right-click on the assignment and open the right-click menu

  2. Click Clone

  3. A people list will show up from the bottom, and you can click on the Clone button next to the name of the person to clone the assignment (Currently, you can only clone the assignment to each person one by one)

  4. Awesome! You should be able to see the assignment appearing in other selected people as well!
