Creating assignments and planning out work in Runn is easy. After adding a person to a project on the Planner, simply click into the timeline to chose the start date, then drag your mouse across the planner to create an assignment for that person.  

The quick editor

When you create or click to edit an assignment on the Planner, we show you a quick editor so you can review and change assignment details, including the hours per day and the the overall duration of the assignment. 

From here you can also change an assignment from billable to non-billable, add a note or open the calendar.

Hours per day

The Hours per day field defaults to your employee's working hours, which you set-up in their employment contract. See Managing employment contracts

You can update the hours per day using hours:minutes format, or decimal format, e.g. 7:30 and 7.5 both mean 7 hours and 30 minutes. 

Changing the hours per day of an assignment updates the Total hours, but won't affect the Working days. 

Working days

Working days is the duration of your assignment, excluding weekends. 

Use the up and down arrows next to the Working days field to lengthen or shorten the assignment by one day. Alternatively type a number into the field to update the duration of the assignment from the start date.

Changing the number of Working days of an assignment updates the Total hours, but won't affect the Hours per day.

Total hours

The total hours of an assignment are the hours per day, multiplied by the working days. 

You can update the hours per day using hours:minutes format, or decimal format, e.g. 7:30 and 7.5 both mean 7 hours and 30 minutes. 

Changing the hours total hours of an assignment updates the Hours per day but won't affect the Working days.

Non-billable

Tick this box to make the assignment non-billable. For more information, and the difference between billable and non billable assignments, see Managing non-billable work

Delete

Deletes the assignment, including notes. 

Notes 

Click the notes icon to add and edit notes. See Assignment notes 

Calendar

Click the calendar icon to open the calendar for more detailed editing, see below. 

Hours per day vs. hours per week input and display for assignments

If your company thinks in weeks rather than days, you can switch the default Hours per day input to Hours per week on the quick editor and calendar. 

Click the day or week link above the input field respectively to switch between the two modes. Note that this updates the input and display for all your assignments.

When using hours per week, how do you calculate the total hours of an assignment? 

To calculate the total hours, we divide the hours per week by 5, then multiply that number by the working days. In the example above this would be 40/5 = 8. 8*10 =80

When using hours per week, can I have assignments that are less than a week, or span over partial weeks? 

Yes, that's still possible.

Using the calendar to schedule an assignment

The calendar gives you more powerful calendar controls, which is useful to schedule long-term assignments that span over several months.
