Best Practice for scheduling by hours per week for part-time staff with rostered days off

The weekly scheduled hours and availability don't align for part-time staff in the People Planner. Why?

If you have part-time staff who have rostered days off, and you are scheduling with the Assignment Unit "hours per week", you might notice that the availability displayed on the People Planner doesn't seem to be calculated based on the scheduled hours per week.

Example

In the example below, Alex takes rostered days off every Thursday and Friday. Her weekly capacity is 8 hours x 3 days = 24 hours per week.

When there are no assignments scheduled, her availability is displayed as 24 hours free:

When a user schedules 26 hours per week for Alex on a project, it seems like her availability should then be 26 hours - 24 hours = -2 hours. However, Runn is indicating that Alex has 8 hours and 24 mins free. Why is that so?

Explainer: "Hours per week" as an assignment unit based on a 5-day work week

When the assignment effort unit is set to Hours/week, the hours displayed there, even for a person who does not work 5 days a week, are still based on a 5-day workweek.

If you change the assignment effort unit to hours per day, you'll notice that the hours per day in this assignment are 26 hours / 5 days = 5.2 hours per day:

Since Alex works only 3 days a week, her total weekly hours are 5.2 hours per day x 3 days = 15 hours and 36 minutes per week:

As a result, Alex's availability for the week is 24 hours - 15 hours 36 minutes = 8 hours 24 mins.


Best Practices for scheduling by hours per week for part-time staff with rostered days off

Use repeating assignments

  • Instead of creating one long assignment, create a weekly assignment across the employee's working days.

  • Click and drag to create an assignment for one week

  • Use the Total Effort field to define the total hours per week you would like to schedule for this person across the 3 Work Days:


    Ignore what is displayed on the Effort field.

  • Tick Repeat and define the end date of the assignment using the date picker

  • Click Save

  • By default, you will see 43:20/week displayed on each assignment:

  • To view 26 hours scheduled per week, click on the cog icon at the top of the Planner and turn on Show Total Effort:


  • You will then see the Total Effort per week displayed at the front:
