Runn Integrations - HR Tools Overview

Learn how to automate inputting time off and person details with Runn’s HR integration tools.

You can connect Runn with any of the following HR tools to import Person Details and Time Offs:

  • ADP Workforce Now

  • AlexisHR

  • BambooHR

  • CharlieHR

  • HiBob

  • Humaans

  • Workday

The integrations let you import approved time offs and basic person details from your HR Tool to Runn.

Importing Time Off (Daily Sync)

One-way sync

The time off import is a one-way sync that runs multiple times a day. Whenever there's new approved time off or updates to time off in your HR tool, they'll automatically get synced into Runn usually within 6 hours.

Approved Time Off Only

  • Only Approved Time Off will be synced to Runn

  • Time Off in other statuses in your HR tool (e.g. Time Off Pending/Requested/Declined/Cancelled) will NOT be synced to Runn

  • All leave types (Sick leave, compassionate leave, etc.) will be synced. Only syncing a specific leave type is not available at the moment.

  • Public Holidays will not be synced to Runn. Please use our Public Holidays settings to set up Public Holidays for your team.

  • All approved time-offs for people, both past and future, will be synced.

  • Time off notes will be synced automatically.

If you would like us to disable syncing all time-off notes from the HR tool to Runn, please contact us through the in-app chatbox or reach out to help@runn.io.

Multi-day, Full-day or Partial day Time Off

Runn supports multi day, single day and partial day time off

  • Multi-day

    • If you book a Friday > Monday as time off in your HR tool this will be shown the same in Runn. i.e Both Friday and Monday will be shown as time off.

  • Full day

    • If you book a single day as time off in your HR tool this will be shown the same in Runn

  • Partial day

    • If your HR tool supports time off in hours (e.g 2 hour) or 1/2 days, then Runn will display this as the same amount with the following exception :

      ❗️Any time off that spans across multiple days will show as full day time off in Runn. e.g. A single time off that has partial time off on multiple days (e.g. Thursday afternoon and Friday morning) will need to be entered as two separate time off entries in your HR tool for it to be shown correctly in Runn.

Managing Synced Time Off in Runn

View-only

The Time Off synced to Runn is view-only and is not editable.

If you need to edit the synced time off, please do so in your HR Tool and it will be synced to Runn.

Deleted Time off in your HR Tool

If a time off is deleted in your HR tool, please allow up to 3 days for this to be reflected in Runn.

Sync Now to immediately update Time offs

Standard sync is scheduled to run every 6 hours, it will automatically pull in the new people added to HR and the latest time off updates behind the scenes.

With Sync Now, you can manually sync new changes into Runn without having to wait for the next sync cycle to start. This sync may still take a bit of time to occur but it will prioritised ahead of the regular 6 hour syncs.

Importing Person Details (One-off Import)

You can turn on the integration with your HR tool to import basic person details when you need to add new people in Runn.

This is a one-way one-time import. It is only for adding details for new people in Runn, but NOT updating.

Only use the integration to import new people when the Roles in Runn match the Job Titles in your HR tool.

If the person in your HR system has never been added to Runn, the following Person Details will be imported to Runn on a one-off basis:

  • First Name

  • Last Name

  • Team

  • Group (Name of Department/Division/Business Unit/Team)

  • Job Title

  • Contract Start Date

  • Employment Type (Defaults to full-time Employee. Part-time staff and contractors need to be manually updated)

If your Roles in Runn differ from the Job Titles in your HR Tool, we recommend not using the integration to import person details, as this will create unwanted Roles in Runn.

Use the CSV tool to import people and map the correct Default Role for each person. Once the people are created in Runn with the correct Role, you can turn on the integration to sync time-offs.

No access to financial data

Runn will not access any financial data e.g. salaries from your HR system. After the import, you can add the financial information in Runn manually.

Suitable for first-time import of new people

Whenever you need to import the Person Details and set up time off sync for a new person into Runn, you can select the person and run the one-off import manually.

❗️This integration will NOT overwrite any existing person details in Runn.

Once a person has been imported in Runn, their personal details will not be overwritten by the next import. In other words, any updates made to their details in your HR tool do NOT get synced to Runn. To update information on existing people, please do so in Runn.

Example: The details of a staff member, Marilyn Jones, have been imported from SageHR into Runn. Her job title has changed from Junior Developer to Senior Developer in SageHR. However, this will not be synced to Runn. The Runn admin or Manager will have to login to Runn and change Marilyn’s Job Title manually.

Tip - Any new person you add in your HR system will need to be linked to Runn using the steps above. Once that has been done their time offs will automatically sync every 6 hours.

Turning on/ off the integration

If you ever need to temporarily stop the HR data from importing into your Runn account, you can turn off the integration with the toggle on the top left corner.

You’ll no longer receive new changes or be able to select people to sync until you turn integration back on again.

Once it is turned back on, Runn will start syncing time-off entries automatically.

FAQ

One or more people have had their time off approved in our HR system, but it is not showing in Runn. How do I resolve this?

In the Runn web app, go to Settings > Integrations. In the panel for your HR integration, choose the "Import People" option and make sure all these people are selected to import their time offs and then choose "Sync Selected". If you now go to the People Planner or the person's Dashboard in Runn you should see their time offs.

I have existing time-offs in my Runn account. What happens if I turn on the integration?

Once you turn on the integration, all approved time-offs will be synced from your HR tool to Runn. The existing time-offs in Runn will not be removed. If the time-off dates overlap, the time-off hours will not be double-counted. For example, you have added a full-day time off (8 hours) for Amy on 16th Dec, and the same time off is synced from your HR system, the time off hours for Amy in Runn is still 8 hours.

However, if you have an existing time off added to Amy on 17th Dec in Runn, but the time off is not in Workday, the time offs on 16th Dec will still be synced to Runn, and the time off record on 17th Dec will remain in Runn. You can delete the time off created in Runn manually to ensure consistency.

Can I select only specific people to sync from the HR Tool to Runn?

Yes, during the setup process, you will be guided to select who to sync to Runn. You can select all people or just specific ones. Please note that we don't have a filter function for this process at the moment, so you will need to tick the checkbox for each individual person one by one if you are only syncing a specific list of people to Runn.
