Filter and Search for Projects and People

How to filter and search for people and projects on the Planners and Reports

Use searching or filtering to focus on specific projects or people at a given time.

When you apply a filter or enter a keyword into the search bar, only the matching projects or individuals will be displayed.

In the People Planner, Chart, or Reports, only these filtered projects or people will be considered for report metrics, capacity, demand or utilization calculations. Those that don’t meet the filter criteria won’t be visible and will be excluded from any metrics.

You can use filtering as a mechanism to quickly include or exclude certain projects and people and view the changes in availability and report metrics instantly:

Examples

  • I would like to view only the projects managed by Theresa

    • Go to the Project Planner

    • Apply Filter > Manager (Projects) > Select Theresa

  • I would like to view only the total workload of my billable projects in Reports, excluding non-billable projects

    • Go to Project Overview Report

    • Apply Filter > Pricing Model > Select only Fixed Price and Time & Materials, do not tick Non-billable


Filter and Search on People Planner

💡 Pro Tip - Search keywords and Filters on the People Planner are connected to Chart, when you turn on Chart, the Chart will be filtered based on the filters you applied to the People Planner by default. You can still adjust the filter on the Chart if needed.

Search

You can quickly search your people by typing in the search input.

The search query can match the:

  • Person name

  • Assigned project name

  • Assigned project client name

  • Person team name

  • Person role name

  • Person tags

Filters

Apply a filter to isolate the people as needed:

The filters available are:

  • Person (Name of the person)

  • Default Role

  • Project Role

  • Manager - People

  • People Tags

  • Job Title

  • Skills

  • Team

  • Person Type

  • Employment Type

  • Resourcing Request Status

  • Project

    • Project Name

    • Project Status

    • Scheduled in the future (Only project team members with future scheduled work)

    • Manager – projects

    • Client

    • Primary Team

    • Project tags

    • Workstream

  • People Custom Fields

  • Project Custom Fields

On the People Planner, you can only filter the list of people. Filtering the list of projects under a person is not available at the moment.


Project Planner

Search

You can quickly search your projects by typing in the search input.


The search query can match the:

  • Project name

  • Project client name

  • Project team name

  • Project tags

  • People working on a project

Filters

Apply a filter to isolate the projects as needed:

The filters available are:

  • Project Name

  • Client

  • Manager - Projects

  • Project Tags

  • Project Status

  • Pricing Model

  • Primary Team

  • Project Template

  • Workstream

  • People & Placeholders

    • Person on Project

    • Person Type

    • Project Role

    • Manager – People

    • People in Team

    • Resourcing Request Status

    • People Tags

    • Job Title

    • Skills

  • Project Custom Fields

  • People Custom Fields

On the Project Planner, you can only filter the list of projects. Filtering the list of project team members within a project is not available at the moment.


Filter Logic

OR Logic

Each selected filter option uses OR logic.

For example, a "Default Role" filter that has "Cloud Engineer" and "Data Engineer" selected will match any person who has the Default Role "Cloud Engineer" OR "Data Engineer."

Selecting more default roles will increase the number of people visible.


AND Logic

When you add multiple filters, they use AND logic.

For example, if you would like to look for people with both the "AWS" skill AND "Networking" skills (either at skill level 3 or level 4 are acceptable), apply the Skills filter twice and add each skill name to each of the filters. The result will show only people with both the "AWS" and "Networking" skills (either level 3 or 4).

Adding more filters will reduce the number of people visible.


Exclude certain Projects/ People

If you would like to filter by NOT [your selected filter], you can click on the top check box to select all, and uncheck the options you would like to exclude:

In the example above, the Product Team is excluded.

💡 Pro Tip: Use the Project Checkbox Custom Field to customize which projects to include or exclude

If there are specific projects or people you would like to include or exclude often, and if they don't fall under a specific team or custom field labels, you can set up a checkbox custom field.

For example, it is often the case that there are some "Internal Projects" that you often need to exclude when considering workload.

  • Set up a project custom field called "Internal Projects"

  • Tick the checkbox for those projects:

  • When you need to exclude these projects, apply the filter and select "No:


Saved Filters

To save your filters and use them again later, click on the Save button. Give the filter an easily identifiable name.


Shortcut to view My Projects

Project Planner

If you are assigned to any projects, you can quickly filter for the projects you have been assigned to by taking the following steps:

  1. From the Project Planner

  2. Click Filter > My Projects

People Planner

If you are assigned to any projects, you can quickly filter for the projects you have been assigned to by taking the following steps:

  1. From the People Planner

  2. Click Filter > [Your Name]
