Why do the percentages change when I adjust the date range in reports?

Utilization results in reports can vary depending on whether archived employees are included in the selected time period. This is because archived users may still contribute capacity (if included), but often have no work assignments during the selected range—especially if they were archived before or during that period.

For example, if you include archived employees in a report for a past month, their capacity will be counted in the utilization calculation. However, if they no longer had any assignments at that time, the overall utilization rate may appear lower. This is because Utilization = workload / effective capacity, and unassigned capacity drives the percentage down.

To ensure consistency and accuracy, we recommend using the "Active employees only" filter when generating utilization reports. This approach reflects the actual work done by team members who were actively contributing during the selected date range and avoids skewed results from inactive or archived users.
