Why do the capacity and utilization metrics change when I adjust the date range in reports?

Capacity and Utilization metrics in reports can vary depending on whether archived people without a contract end date are included in the selected time period.

If the selected time period overlaps with a time when an archived person (without a contract end date) had assignments or actuals, the archived person's capacity will contribute to the overall capacity and utilization of the entire time period, including the time period after they are archived and have no active assignments.

To exclude archived people from the calculation of capacity and utilization in the future, there are two options:

Option 1 (Immediate workaround):

Specify the time period and Apply the Person State Filter

If your goal is to forecast current/ future utilization %, select a time period that does not cover any assignments or actuals linked to any archived person, and apply the person State Filter, select Active only:

If the time period overlaps with any assignments or actuals linked to any archived person in the past, the Active-only Person State filter will exclude the Total Effort and Capacity of archived people in the past, even when they were active.

Option 2 (Recommended):

Add a Contract End Date to the Archived people

To ensure consistency and accuracy, please ensure all archived people have a contract end date.

Once each archived person has a contract end date, their capacity will only be counted up to the contract end date and will not be included in any time period after that date. This ensures the metrics are accurate regardless of the time period you select in the report.
