How do I add Tasks to Runn?

Two possible workarounds for tasks in Runn.

As Runn is high-level strategic resource management and capacity planning platform, we do not currently offer task management. However, these 2 workarounds may work for your organization.

Roles

In Runn, default roles and project roles all fall under the Roles tab, but their functionality can be different. If you have more general categories of tasks, you can simple create some additional roles that are the tasks. When you assign someone- add them to the project using the Project Role instead of their Default Role.

Works if:

  • You have more generic and consistent tasks

  • You need a billing rate for each task

  • You want to calculate the cost of each task

  • You want to set a budget for each task

  • Need variance reporting between scheduled & actuals for each task

Advantages of the approach:

  • Roles is part of all plans, including free ones

  • Reporting is easy- roles is a required field so you every person assigned to a project will be assigned at least one task

  • People can have more than one role on a project

Not suited:

  • If you are looking to replace your ticketing system like JIRA

  • All tasks are independent of the project with several sub-issues

  • You have a mid to large organization

  • You have many different roles

  • You have a lot of variety of tasks across projects

Work Streams

In Runn, work streams can be different for each project- so you can create more granular tasks. They can also be shared across some projects, allowing you report on the costs associated with each work stream (task) but if not, can accurately reflect costs just for this project.

Works if:

  • You are comfortable with no Project Manager restrictions as you need to be Manager, All (User type) to add work streams ad hoc.

  • You do not need to set task budget

  • You have a more complex project hierarchy

  • You have more variety of tasks across different projects

  • Works with actuals & variance with scheduled

Advantages of this approach:

  • More flexible for adding more project- specific tasks

  • Can toggle to this view on planner

  • People can be in multiple work streams on the same project

  • Better data management for roles and contract details

Not suited:

  • You are on a Pro legacy plan, Professional, Starter or Free plan

  • You need to set a budget for each task in each project

  • Need very restrictive Edit or View permissions
