How do I add Tasks to Runn?

Two possible workarounds for tasks in Runn.

As Runn is high-level strategic resource management and capacity planning platform, we do not currently offer task management. However, these 2 workarounds may work for your organization.

Using Role Name as Tasks

In Runn, default roles and project roles all fall under the Manage > Roles tab, but their functionality can be different. If you have more general categories of tasks, you can simply create some additional roles and name them after the task names:

When you assign someone to a project, select the task name different from the person's default role:

βœ… Works if:

  • You have more generic and consistent tasks

  • You need a billing rate for each task

  • You want to calculate the cost of each task

  • You want to set a budget for each task

  • Need variance reporting between scheduled & actuals for each task

Advantages of the approach:

  • Roles are part of all subscription plans

  • Reporting is easy- roles are a required field, so every person assigned to a project will be assigned at least one task

  • People can have more than one role on a project

❌ Not suited if:

  • You are looking to replace your ticketing system like JIRA

  • All tasks are independent of the project, with several sub-issues

  • You have a mid to large organization

  • You have many different roles

  • You have a lot of variety of tasks across projects

Using Workstreams as Tasks

In Runn, workstreams can be different for each project, so you can create more granular tasks. They can also be shared across multiple projects, allowing you to report on the costs associated with each workstream (task).

βœ… Works if:

  • You are comfortable with Project Managers creating new workstreams in the account

  • You do not need to set a task-based budget

  • You have a more complex project hierarchy

  • You have a greater variety of tasks across different projects

  • Works with actuals & variance with scheduled

Advantages of this approach:

  • More flexible for adding more project-specific tasks

  • Can group by workstreams in each project on the planner

  • People can be in multiple workstreams on the same project

  • Better data management for roles and contract details

Not suited:

  • You are on a Pro legacy plan, Professional, Starter or Free plan

  • You need to set a budget for each task in each project

  • Need very restrictive Edit or View permissions
