Import People & Roles via CSV

How to import your people and role data from CSV

Only Admins can import people and role data to Runn.

This is particularly useful for a one-off import to move data into Runn when setting up your account. Importing people and roles will only create new items, it does not modify existing items.

Please make sure you get as much information as possible ready before uploading the CSV - and make sure that everything is correct.

If you would like to make changes in bulk afterwards, you will have to do so manually in Runn once you have started adding assignments in Runn.

Steps:

Set up your CSV file to import people and roles

You will need to set up your CSV file to match the example here people and roles.csv.

  1. Go to Settings from your user profile drop-down menu

  2. Click on the Import tab

  3. Select 'People and roles' as your import type

  4. Click on the Choose File button to upload your CSV file

Fields

  • First Name

  • Last Name

  • Email

    • Used to identify unique people

  • Role

    • When the same role is used multiples times, it will only create one role

  • Team [optional]

    • Add the name of the Team you would like this person to be assigned to

    • One person can only be added to one team

    • ❗ If you don't include the team here, you will have to manually assign each person to their team in Runn afterwards

  • Hourly Cost [optional] - The cost per hour of a person.

    • ❗ If you don't include the cost here, you will have to manually add the cost one by one in Runn afterwards.

    • If you don't have the hourly cost readily available in your HR system, use our cost calculator to determine the cost

  • Start Date [optional]

    • If none is provided, the employment contract will be set to 2 months prior

  • End Date [optional]

  • Employment Type

  • Tags [optional] - Separated by comma

    • Add tags to your people for better filtering and searching. Examples of people tags include staff location, specific skills, seniority etc.

    • ❗ If you don't include the tags here, you will have to manually add them in Runn afterwards.

  • Skills [optional] - Separated by comma

    • Add skills to your people for better filtering and searching.

    • ❗ If you don't include the skills here, you will have to manually add them in Runn afterwards.

2. Check if the data imported are correct

Go to the People Planner, Manage > People/ Roles/ Tags/ Skills and check if everything is imported correctly.

  • Are the Roles, Teams imported correctly?

  • Do you see all the tags and skills associated with the right person?

  • Are there any typos?

3. Reset the account and re-upload the data if needed (For new account setup only)

If this is your first time setting up the Runn account, and you notice that something is wrong after uploading the CSV, you can reset the account, wipe all the data and re-upload again.

Please DO NOT perform this action if you have existing data in your account as everything will be deleted.

  • Go to Settings > Account Settings

  • Click Show Actions

  • Click Reset Account

If you have existing data in Runn and you noticed that something went wrong in this CSV import action, the only way to correct the error is to do it manually in Runn.
